Position Summary:

The Administration Floater Representative is responsible for providing various administrative support for our orthodontic and pediatric services.  The position includes providing support to various areas such as hospital coordination, doctor scheduling, patient check-in and check-out, patient scheduling, treatment coordination, correspondences, and insurance.

 

Primary Responsibilities:

·        Greet patients when they first enter the office and notifies the clinical staff that the patient has arrived

·        Obtain any updated demographic information and inputs it into the dental system

·        Give any necessary demographic information to the Treatment Care Coordinator to obtain a rating

·        Obtain a copy of patient insurance card/information and distribute the information to the Insurance Coordinator to verify and input coverage in the dental system

·        Obtain Medicaid form signed by patient/parent as needed and adds it to the chart

·        Sort out patients’ files when they visit the clinic

·        Check patients out financially at the end of the appointment, and schedules a follow up appointment or refers the patient to the Treatment Care Coordinator if a treatment assessment is required for the next appointment.

·        Assure procedures are coded and charged correctly; files insurance claim as needed

·        Make appropriate guarantor notes as needed

·        Answer telephone calls from clients and speak with them when they visit the clinic in person

·        Provide answers to patient’s questions regarding activities in the clinic and if needed, direct them to relevant persons for more clarifications

·        Get appointments for clients from doctors and inform both parties about cancelled appointments

·        Register new patients in line with acceptable standards of the clinic

·        Guide patients in filling medical forms at the clinic to avoid errors and inaccurate information

·        Keep financial records of patients’ billings confidential

·        Confirm appointments and recalls in line with office protocols

·        Ensure all appropriate actions are taken to comply with HIPAA regulations regarding patient confidentiality

·        Other duties as assigned

 

Knowledge, Skills, Abilities:

·        High School degree or equivalent

·        One or more years working in a dental or medical office

·        Prefer previous experience in Administrative/front office duties

·        Flexibility with work assignments and duties is a must; this position will perform various administrative duties for the Practice

·        Must be professional and attentive

·        Must have good hand dexterity; detail oriented

·        Ability to read and interpret documents such as written directions, reports, and web content

·        Ability to be detailed oriented with a well-organized job ethic and a demonstrated ability to multi-task

·        Ability to keep records and patients’ personal information private (HIPAA)

·        Flexibility with work assignments and duties is a must; this position will perform various administrative duties for the Practice

·        Must be able to take initiative and be organized

·        Possess interpersonal skills; compassionate

·        Outstanding customer relations skills to effectively handle clients from diverse backgrounds

·        Ability to work in a fast-paced environment

·        Keyboarding and basic computer skills

Position Summary:

An Administrative Assistant to the Front Desk takes a well-orchestrated coordination of appointments, phone calls and office management. A front desk admin helps keep the practice on track by handling a variety of tasks, including orthodontic, pediatric appointments and inquiries as well as dental emergencies, and maintaining good customer relations. Depending on his/her credentials, he/she may also assist with different aspects of patient evaluation.

Primary Responsibilities:

·        Answer telephone calls from clients and speak with them when they visit the clinic in person

·        Provide answers to clients’ questions regarding activities in the clinic and direct them to relevant persons for more clarifications

·        Get appointments for clients from doctors and inform both parties about cancelled appointments

·        Register new patients in line with acceptable standards of the clinic

·        Guide patients in filling dental forms at the clinic to avoid errors and inaccurate information

·        Explain clinical procedures to patients in order to clear whatever doubts they might have had

·        Inform patients of the various dental services offered by the clinic

·        Ensure that patients stick to scheduled appointments to avoid clash between patients

·        Keep patients’ records from unauthorized persons to ensure their privacy and guaranty their safety

·        Keep financial records of patients’ billings

·        Confirm appointments and recalls in line with office protocols

·        Sort out patients’ files when they visit the clinic

·        Keep lobby clean and organized; assist with check out and other duties as assigned

·        Ensure all appropriate actions are taken to comply with HIPAA regulations regarding patient confidentiality

·        Conduct financial consultations

·        Other duties as assigned

Knowledge, Skills, Abilities:

·        Minimum of a high school diploma

·        Prior experience a plus, but will train most qualified candidate

·        Ability to read and interpret documents such as written directions, reports, and web content

·        Good knowledge of common terminologies in dental practice

·        Ability to use computers in recording and processing information

·        Good knowledge of dental insurance

·        Excellent knowledge of, and the ability to apply information management principles to work on a daily basis

·        Ability to keep records and patients’ personal information private

·        Must be an individual that takes initiative

·        Possess interpersonal skills

·        Ability to work in a fast paced and very active environment in a Pediatric setting

·        Outstanding customer service; warm and friendly; outgoing; flexible
